No-Show, Short-Show & Late Cancellation Terms
Dolphin Head Golf Club (“Club”, “we”, “us”)
Effective: November 12, 2025
1. Definitions
- No-Show: One or more reserved players fail to arrive for the tee time.
- Short-Show: Fewer players arrive than were reserved (e.g., 4 booked, 2 arrive).
- Late Cancellation: A reservation cancelled after the cancellation window expires.
- Fee: The per-player charge applied to each absent player, plus applicable taxes/processing costs.
2. Fees
Fee Amount: A fee up to or equal to 50% of the prevailing green fee + cart fee may be charged to the credit card on file for each no-show reservation. For Short-Shows, the Fee applies per absent player.
3. Cancellations & Changes
- Cancellation Window: Cancellations or changes must be made at least 24 hours in advance to avoid penalty.
- How to Cancel: Use the link in your text or email confirmation, or call the golf shop during business hours.
- Weather: Normal/inclement weather does not automatically waive fees. Fees are waived if the course is officially closed or management declares a weather waiver at your tee time.
4. Authorization to Charge
By booking, you authorize Dolphin Head Golf Club and its payment/booking processors to charge your card on file for any applicable Fees arising from a No-Show, Short-Show, or Late Cancellation. If you book on behalf of others, you confirm you are authorized to accept these terms and, where applicable, to bind their cards or accept responsibility for all absent players.
You agree that the Fee is not a penalty, but a reasonable charge to compensate the Club for lost capacity and operational costs.
5. Disputes (Before Chargeback)
If you believe a Fee was applied in error, contact the Club within 5 business days of the charge with your name, tee time, booking reference, and reason. The Club will review check-in logs, starter sheets, time-stamped booking/cancellation records, SMS/email delivery confirmations, and course-closure notices. Confirmed errors will be reversed or credited promptly.
6. Chargebacks
- Please do not initiate a card chargeback before contacting the Club and allowing 10 business days for review.
- If a chargeback is filed contrary to these terms and the Club prevails, you agree to reimburse reasonable chargeback fees and administrative costs permitted by law.
- Nothing here limits your rights under card-network rules or law; you acknowledge the Fee is a disclosed and authorized charge for reserved capacity/services.
7. Course Closures & Extraordinary Conditions
If the course is officially closed or management deems conditions unplayable at your tee time, No-Show/Short-Show/Late Cancellation Fees will be waived. Partial closures or delays may result in adjustments at management’s discretion—please contact the golf shop for guidance.
8. Groups / Events
Event and group bookings may include different cancellation windows, deposits, or minimum-player commitments. Those written terms control where they differ from this policy.
9. Updates
The Club may update these terms from time to time. The version posted here at booking and/or in your confirmation governs that reservation.
